1 Dear GAMES Camp Parent/Guardian, Congratulations on your daughter s admission into Girls Adventures in Math, Engineering and Science (GAMES) camp at the University of Illinois! For the first time, GAMES will be split into 4 weeks of camp. These are the engineering tracks offered this year and their dates: 1. To access the parent page, use the following password: Password: GirlsRock99 For your daughter s convenience, we have created a private Facebook group named Women in Engineering at Illinois GAMES 2015, that will contain general information about camp, allow campers to get acquainted with one another before coming to camp, and provide campers a means of staying in touch after camp. For those campers with Facebook accounts, they are welcome to log on to Facebook and request membership to the group. With membership managed by GAMES Administration at the University of Illinois, only admitted campers will be allowed to join this private group. Housing/Meals Campers, along with their assigned counselors, will be staying at Hendrick House for the duration of camp. This is a private certified dorm on the University of Illinois Campus. 2 Campers are expected to adhere to the rules stated by both Hendrick House and GAMES Camp (listed in the Registration Form). At no time will campers be permitted outside of Hendrick House or other buildings without supervision. You will be bringing your daughter to Hendrick House when you drop her off at camp. The address for Hendrick House is listed below. For those who wish to park, you will be able to park in the parking lot between Springfield & Gregory. For those who will quickly drop off their campers, you can pull up in the driveway by Hendrick House s south doors or in the lot just north of Hendrick House. A map of Hendrick House s campus location and available parking are also included at the end of this packet. Hendrick House Address: Hendrick House 904 W. Green Street Urbana, IL Campers will be assigned a roommate. In the case that your daughter wishes to request a roommate, please Robin Ennis at rennis@illinois.edu or Sahid Rosado at srosado2@illinois.edu with the request. Please keep in mind that we can only grant the request if both campers request each other, and they are participating in the same camp track. Please note that room numbers will be assigned at registration. Campers will be provided with breakfast, lunch and dinner at Hendrick House. If your camper has any food allergies, please make sure you indicate the specifics on the Registration Form. We will forward the information to Hendrick House s Dining Hall staff. Engineering Campus Tours For the first time, we will provide optional engineering campus tours to our campers! Two engineering campus tours will be offered every first day of camp, one at 2:30pm and another at 3:30pm. For those interested in attending these tours, please sign up here: Please note that registration starts at 3pm, so the camper may choose to attend the engineering campus tour first and then check-in, or check-in first and then attend the engineering campus tour. To attend the tours, the camper (and their party) will meet the tour guides in front of the Engineering Hall building, a few blocks west of Hendrick House. Local Hotels For parents traveling from a long distance, there are several local hotels that are near campus where they can stay. Some options are listed below. 3 Schedule Sunday Arrival: Engineering Campus Tours: 2:30-3:30 PM or 3:30-4:30 PM For those that signed up for Engineering Campus Tours, you will meet your tour guide in front of Engineering Hall (south doors), a few blocks west of Hendrick House. Please make sure to meet your tour guide at least five minutes before the actual start time so that tours can start promptly. If you signed up for the 2:30pm tour, there is no need for you to arrive at Hendrick House beforehand. After the tour, you will have plenty of time to check-in. If you signed up for the 3:30pm tour, you should check-in at Hendrick House first. By the time the tour ends, registration might have already ended. Registration/Check-in: 3:00-4:45 PM Check in at Hendrick House. Leave luggage in the car until after you have completed check in. Enter through the south side doors (facing Green Street); signs will be posted. Parking Parking is located in the parking lot between Springfield & Gregory. Camper drop-offs can be made in the lot just north of Hendrick House or in the driveway in front of the south side doors. Metered parking is free on Sunday ONLY. Read all signs and meters to determine parking restrictions/enforcement as GAMES is not responsible for fines. Move-in After registration, parents can assist students as they move into their rooms. Once students have moved into Hendrick House, they are free to stay around the dorm, explore campus with their parents, or attend the Engineering Campus Tours until camp starts at 4:45pm. Dinner: 5:00-6:00PM At 4:45pm, counselors will assume responsibility over the campers. By 4:45pm, parents will say goodbye and the campers will have dinner in the Hendrick House dining hall. Meals The first meal served at Hendrick House is Sunday dinner. Breakfast on Saturday is the last meal served. Saturday Departure: Check-out: 9:30 AM-11:00 AM: Please note that meters are enforced on Saturday. 3

4 ONLY a person listed on the departure form (filled out by the parent/guardian during Sunday s checkin) may pick up the camper. This is for the safety of all involved. Inform your child before camp begins who will be picking them up so your child will be aware and ready. A camper s counselor will release campers once a parent/guardian has been identified. Keys MUST be turned in during check-out. If campers leave without turning in their keys, they will be sent a bill for $10 to cover the re-keying of the locks for the room. Keys cannot be mailed back at a later date. Closing Ceremonies: 11:00-12:00 PM: All campers and parents/guardians are encouraged to attend their Closing Ceremonies. Further information about location will be provided at check-out. Campers and their parents should arrive for their closing ceremony by 11:00AM. 4

5 What to Bring to Camp The summer months in Champaign-Urbana are usually hot and humid. Participants are advised to bring an ample supply of cool cotton clothes. A sweatshirt or sweater is useful for cool weather or for comfort in the air-conditioned facilities as many of the facilities can become very chilly at times. Participants are expected to dress as they would in their own school (however, shorts, sport shirts, and t-shirts are allowed). Comfortable walking shoes are a necessity. Note: camp-specific dress is discussed in a separate section. Every Camper Must Pack Appropriate clothes (see specific camp details) Backpack (for use during the week of camp) Reusable water bottle (to keep hydrated) Toiletries Items Provided by Hendrick House Hendrick House provides bed linens (flat sheet, fitted sheet, pillow case, pillow, and blanket) and bath linens (towel, wash cloth) for each student. These are changed weekly. Campers should feel free to bring their own from home if they wish. This, however, is not necessary. Other Useful Items Campers May Wish to Bring Alarm clock (and/or clock radio) Hair dryer Umbrella/Rain Jacket Camera A blanket for sleeping in the air-conditioned rooms as they can be very chilly at night. Minimal spending money (for ice cream out on the town, Illini t-shirts, for replacing items that might have been left at home, etc.) Shower caddy for bathroom items Any basic medication that a camper might need (Tylenol, Pepto-Bismol, etc.) as these will not be dispensed by camp Shower shoes (an extra pair of flip flops works perfectly) Snacks for the week (Hendrick House provides a late-night snack at 9pm) Evening activities include a choice of activities including swimming, running, and walking around campus. Campers that are interested in these activities are encouraged to bring the following Swimsuit Pool towel (Hendrick House towels are not allowed to leave the building) Gym clothes for exercise activities. Campers interested in running in the morning will be allowed to run a route around campus with a counselor, or they will be taken to the quad to run with a counselor. When they come to camp, they should notify their counselor they are interested in morning runs. Medications Campers will be responsible for providing, storing and taking their own medication. However, staff will be able to store refrigerated medication for campers who need it. The staff will have bandages, first aid kits, and other supplies on hand for emergencies. 5

6 Computers and other Electronic Devices Hendrick House provides WiFi in their dining room and all lounge areas on the first floor and in the basement, so campers may bring laptop computers and other electronic devices. In student rooms, there is an ethernet jack for each person to get wired high speed internet, but an ethernet cable would be required to do so. Hendrick House does have a limited number of these cables available for students to borrow, but bringing their own is always recommended. PLEASE NOTE: Not every room in Hendrick House has lockable closets, so we caution you against bringing any electronic devices to camp, as the College of Engineering is not responsible for lost or stolen items. Camp-Specific Dress and Activities Aerospace: As students will be both inside and out most days, layering is recommended. Students are urged to bring an ample supply of cool cotton clothes. Bring a light jacket or sweatshirt for inside or in case the weather should turn cool. Shorts and t-shirts may be worn to classes. Clothing that is not allowed in class: spaghetti strapped shirts, tank tops and shirts that don t cover the midriff. Underclothes are expected to be under the clothes. At least one pair of shoes should be closed-toed; this is necessary for lab safety. Also, we do a lot of walking, so make sure your footwear is comfortable. Campers will also be participating in a flight exercise at the Aviation Institute and a waiver will be sent out at a later date, so be prepared to fill it out and return it. Environmental: Campers will spend some time in a lab, so closed-toed shoes, long pants, and t-shirts are a requirement. Rooms tend to be cold, so bringing a sweater is recommended. Campers will also spend time outdoors. Dressing in layers is our best advice for being comfortable for both indoor and outdoor activities. Computer Science: Campers will be spending time in air-conditioned computer labs. To some campers the labs could feel cold so a sweater or sweatshirt would be useful. There will also be time spent doing outdoor activities. Bioengineering, Chemical Engineering, Electrical Engineering (GLEE), Materials Engineering (GLAM), and Mechanical Engineering (G-BAM): Campers in these camps must make sure they follow these guidelines below every day of camp in order to comply with the safety regulations of the labs they will be working in: Short sleeves or long sleeves that can be folded or pushed up (spaghetti straps and tank tops will not be allowed inside the lab). Long pants (pants should be long enough so that the bottom of the pants touches the top of the foot). Closed-toed shoes (no sandals or flip flops, skate shoes, crocs or heels). Socks must be worn with shoes. Ponytail holders to pull hair back. No rings, watches, bracelets, charity bands, long earrings, long scarves or necklaces. No gum, mints, food, or drink in the lab. Safety gloves and glasses will be provided for campers at the time of the camp. Safety is the most important concern of GAMES. Camp. If your child has a known allergy to latex (from balloons or rubber bands), please let us know so we can be certain your daughter will use the nitrile gloves instead of latex. 6

7 PLEASE NOTE: The girls may be outside at various times during the week especially in the evenings. They should also pack shorts to wear when they are not in the lab. 7

8 Communications Reaching Campers by Phone or Mail We appreciate families desire to keep in touch with their campers and we do not discourage students from bringing cell phones. However, we are also aware of the disruptive nature of cell phones. Therefore, we limit the use of cell phones by campers especially during class time (8 to noon; 1 to 5pm) and evening activity time (6:30 to 9pm). Campers will have the best opportunity to communicate with you during lunch breaks or after they arrive home from evening activities (approximately 9:00pm). Green Street Urbana, IL If you don't know their room number, camper name is sufficient. Hendrick House can look up the room number. Visiting Campers For the safety of all campers, campers will not be permitted to have any outside visitors during GAMES Camp. Unless an emergency arises, parents and other guests will not be allowed to drop in to see campers at Hendrick House at any time during camp. We also ask families to abstain from attending any GAMES social outing activities planned for the girls throughout the week. Travel and Maps 8

9 Once near the University of Illinois Campus, you will need to arrive at Hendrick House where campers will be housed and where camp check-in takes place. The map below shows the street system around Hendrick House and places where you can park. Please note that the drop-off parking and the driveway can only be used by those who will quickly drop off their campers. Arriving by car Meters are enforced Monday through Saturday. If you choose to use the metered parking, please make sure you provide the meter with sufficient funds. GAMES will not be responsible for any tickets that you may receive. Arriving by train or bus If your camper will arrive by either train or bus, please make sure that your camper will arrive and depart from the Illinois Terminal Center building in downtown Champaign (45 E. University). We request that you consider having your camper arrive as close to the registration time as possible (3 to 4:45pm) on Sunday and after the closing ceremony at noon on Saturday. You MUST complete the following travel form so that a staff member can pick up the camper at the terminal upon her arrival and also drop her off at the terminal at the end of 9

10 camp: If your daughter is arriving to an airport and then taking the bus/train into Champaign, please plan enough time between her flight arrival and the bus departure for her to collect her luggage and find her way to the bus loading location. All travel information should be submitted by May 29, 2015 so GAMES staff can plan for the multiple camper pick-ups and drop-offs that occur. If you do not submit any information, we will assume that your daughter will not need any transportation assistance. Arriving by plane If your daughter will arrive to Champaign by plane, she can fly into Champaign s Willard Airport (CMI). American Eagle is the only carrier that flies into CMI. This webpage shows the departures and arrivals from the CMI airport: Registration starts on Sunday at 3pm, but if you are unable to find a flight schedule that will allow your camper to arrive in time for registration, we can catch her up on any missed information. Also note that we can accommodate most departure times on Saturday. To ensure that your camper is picked up from the airport and dropped off again at the end of camp by a staff member, you MUST fill out the following travel form: By filling out this form, you will notify us about your camper s arrival and departure times. All travel information should be submitted by May 29, 2015 so the staff can plan for multiple camper pick-ups and drop-offs. If you do not submit any information, we will assume that your camper will not need any transportation assistance. PLEASE NOTE: Due to the size of the camp, we will be unable to provide transport for your daughter to or from any other airport besides CMI.
