1 Invitation to WFDF 2015 World U23 Ultimate Championships Welcome to London! The members, volunteers and staff of UK Ultimate are delighted to be given the opportunity to host the WFDF World U23 Ultimate Championships. We have a really beautiful venue on the outskirts of London, and we look forward to welcoming you. This invitation is coming to you slightly later than we would like, and that will create challenges for all of us as we work together to make sure we can collect all of the information - and of course money - to successfully run the event. Please do everything you can to support us by respecting the deadlines and responding with all the necessary data efficiently. We will do our best to make the processes as simple as we can. There are some things that we cannot do anything about. London is expensive. And currency exchange rates are also outside of our control! So we have tried - and will continue to try - to make sure we don't spend your money on things that are not important or necessary. We have also made sure we can offer a camping option. We expect to have the website live later this month, but in the meantime, here are the details that you need in order to make your plans. 2 Dates: Sunday 12 July Saturday 18 July 2015 The Opening Ceremony, followed by the opening match, will take place in the late afternoon of Sunday 12th July. The exact start time of the Opening Ceremony is not yet fixed. Finals Day is Saturday 18th July, with the closing ceremony taking place immediately after the last of the three finals. Entry Procedure and Fees Fees Cost Deadline Team Fees 750 GBP 12 Feb 2015 Player Fees 170 GBP 12 March 2015 Guest Fees 50 GBP 12 March 2015 Accommodation & Meal Plan see below 12 April 2015 The event website will be available later this month for processing player registration, accommodation, etc. In the meantime, we need you to confirm that you are coming and pay team fees please. The team fee will serve as a deposit, and is non-refundable except under extreme circumstances. 3 Accommodation & Food We are offering three alternatives. There will be more information on the event website shortly. It will not be possible to reserve accommodation until we publish the information and registration website. Breakfast is included in the cost of the accommodation. 1. Recommended accommodation is at University of Hertfordshire, de Haviland campus The rooms are all single with ensuite shower and toilet. Herts Uni has another campus within walking distance where the closing party will be held. 48 GBP per person per night (bed and breakfast). Evening meals will be provided at the accommodation site in the campus restaurant. Free shuttles will be provided to transport players between UCL Sports Ground and Herts Uni. 2. Mid-price triple rooms - Mercure Hotel Watford Rooms at Mercure can be configured as twin/double or triple. But please note that the third bed in the room will be a "temporary bed" - not the same as the other two beds in the room. The price of the triple rooms is 90 GBP per room per night (bed and breakfast) - i.e. 30 GBP per person per night Twin and double rooms are 85 GBP per room per night (bed & breakfast). Evening meal for players and guests staying at Mercure Watford will be provided at the UCL Sports Ground. Free shuttles will be provided to transport players between UCL and Mercure Watford. 3. Camping on-site at UCL Sports Ground We have been given permission to allow camping on site at the UCL Sports Ground. The campsite area will have port-a-loo toilets. Showering and changing facilities will be provided in the changing block: 3-4 minutes walk from the camping area. We expect to be able to leave the changing rooms open 24-hours a day. The cost of camping at UCL is 15 GBP per person per night (bed and breakfast). Evening meals for campers will be provided on-site at UCL Sports Ground. Bring your own tents and sleeping bags

4 Food Breakfast is provided at the accommodation and is included in that cost. Evening meal plan is purchased separately and costs 119 GBP per person. This includes meals for Sunday 12th - Sat 18th inclusive - i.e. 7 meals. During the day it will be possible to buy food for lunch and other snacks onsite at UCL. There is a large supermarket (and fast-food restaurant) within 10 minutes walk from the fields. We understand the importance of your food and we are trying to find the right balance between quantity, quality and cost. We are having a temporary arena constructed at the venue, so all of the matches will take place at this site - including opening and closing ceremonies and games. The tournament-camping option is on-site at this location. "Urgent" means that it affects whether or not you will enter a team, or because you are trying to make a decision about accommodation in order to decide whether or not to enter a team. Please feel free to send us other questions - but we will be prioritising questions that affect teams entry. We may answer non-urgent questions by building up a list of FAQs rather than replying to you immediately. The website will be live soon. In the meantime, it seems that approx 1000 have already found and Like d our facebook page although we hadn t actually intended to make that public yet! Deadlines, late payments and late changes By agreement with WFDF we may set up a plan for late payment penalties if we feel it is the only way to ensure we receive enough money in time. We do not want to implement any penalties and will not do so if team-representatives are in contact with us in good time. We know that it can be complicated to collect all the money from your players; and international payments can add problems and delays. Please get started if you have not done so already. We also understand that you may still be finalising team selections when we reach the registration deadlines; and that you will have to make a small number of changes after the registration and payment deadlines (e.g. player injury).
