16 SPONSORSHIP AND EXHIBITION RULES & REGULATIONS KWC has been entrusted wi e general logistics and organization of e Congress and exhibition of e 14 Asiast Oceania ORL-HNS Congress 2019 & 71 Annual Conference of The Association of Otolaryngologists of India Applications In order to be valid, sponsorship or exhibition application form(s) are to be carried out by POST or by FAX on e ORIGINAL APPLICATION FORM here enclosed and sent to KWC. The signature of e application form(s) constitute a firm hire commitment and compel e subscriber to accept bo e general conditions and e exhibition rules and regulations. A deposit of e total amount due will be invoiced on receipt of e completed reservation form and due for immediate payment upon receipt of e invoice to guarantee e reservation. No verbal or telephone agreement will commit KWC nor e Local Organizing Committee unless confirmed in writing. The remaining subscription fee is to be settled by September 2018 at e latest. Non-payment by is stated deadline will lead to e cancellation of e right to use e boo, and wiout reimbursement of e deposit paid. Site allocations will be attributed in reservation order form and are subject to e full payment and e agreement of e Local Organizing Committee. Once locations have been attributed, no change of location will be possible wiout Local Organizing Committee s written agreement. All payment must be received by e organizers prior to e event. In e event of litigation, jurisdiction falls under e Hyderabad Courts alone. Reduction in space can result in relocation of exhibit space at e discretion of e congress organisers. Sharing of stands Exhibitors are not permitted to share wi oers any boo space allotted to em wiout prior written consent of e organizers. 14

17 Local and Site Regulations Exhibitors shall abide by e local and site regulations wi respect to law and order, safe and security. The organizers will take appropriate action against ose who do not comply wi e regulations. The organizers have e auority to demand removal/change of any structure which is not in accordance wi e Congress rules or cancel participation. The decision of e organizers will be final and binding. Entry to e Exhibition Access to e exhibition will only be possible to regularly registered conference participants or exhibition participants. To attend any meeting sessions, exhibition staff will need to register as full Delegate and pay e appropriate registration fee. Insurance The signatory renounces to take recourse against e organizers or against e owners of e premises and undertakes to underwrite insurance policies covering all e risks incurred by e material exhibited (eft, damage, etc...) along wi public liability covering e permanent or occasional staff employed by e company, present at e congress. In any case, e insurance protection will NOT be given to e exhibitors by e organizers. Force Majeure In e event of force majeure, e exhibition dates may be changed or e latter may be purely and simply cancelled. In e last event, e disposable funds after payment of expenses will be shared between exhibitors in proportion to eir payments wiout it being possible to take recourse against e organizer or e producer. Exhibitor Technical Manual An Exhibitor Technical Manual will be sent to every registered exhibitor a few mons before e event and once deposit has been paid. This manual contains all information regarding general conditions, safety regulations, setting up of a boo and arrangement conditions, description of e boo, specification documents and maps along wi order forms and prices for furniture, decoration and all necessary services (telephone, electricity, transport, storage, etc.,) Heal and Safety at Work Regulations It is e responsibility of e exhibitor to ensure at his contractor, employees, displays and exhibits comply wi e latest legislation regarding Heal and Safety at Work regulations. Third party companies Organizers will communicate exclusively wi clearly identified ird party companies officially mandated by participating exhibitors and sponsors. Queries received from ird party companies (i.e. communication and press agencies) which do not clearly indicate which company ey are representing will not be answered. It is e responsibility of e Sponsor/Exhibitor to inform e congress secretariat of e full contact details of e ird party companies ey are working wi. Press conferences Press conferences organized by e industry may only be organized at times specified by e congress organisation. The congress office must be notified of any planned press conferences and all journalists must be officially registered to attend e meeting. Promotion onsite Promotion onsite (at e congress) must be limited to e confines of e exhibit space, or e meeting rooms rented by e Sponsor/Exhibitor.
