2 Kia ora Indonesia is one of Tourism New Zealand s (TNZ) three key Emerging Markets globally. Over the last decade, about 1 million Indonesians have visited Australia. Many of these consumers are looking for something new, and are interested in knowing more about a New Zealand holiday. Astindo Travel Fair is one of the two main travel fairs in Jakarta annually (the other being Kompass in September). Travel Fairs in South East Asia are an opportunity for active conversion, as consumers flock to take advantage of special offers from airlines and agents will be the 3 rd year that TNZ will exhibit at this event. The event is most likely to be of interest to Inbound Operators and RTOs who are keen to build their presence in the Jakarta market. This document contains valuable information about the trip, timelines and registration forms. Please take note of critical dates as the success of Astindo Travel Fair is dependent on meeting these dates. 3 CRITICAL DATES 22 January 2016 Event applications open 12 February 2016 Event applications close and attendance confirmed 26 February 2016 Deadline for invoice payments to Tourism New Zealand 4 March 2016 Last day to cancel without penalty, After 100% cancellation fee applies 24 March 2016 New Zealand Delegates arrive into Jakarta 25 March 2016 Astindo begins in Jakarta 27 March 2016 Astindo concludes in Jakarta OBJECTIVES Objective: Support key trade and airline partners in Jakarta Assist conversion of consumers Increase New Zealand as a holiday destination This will be achieved by: Networking with key trade and airline partners at the event Distributing first-hand-knowledge destination information to consumers Desired outcomes: Trade and airline partners see New Zealand as enthusiastic and open to Indonesians 500 consumers converted PARTICIPATION FEES Delegate 1: NZ$ Note: As this is a consumer show there are no appointment schedules Registration fee includes: Access badge to the event Included under the TNZ 100% Pure New Zealand branded booth 100% Pure New Zealand t-shirt to be worn at the event Registration fee does not include: Dedicated space/images on the TNZ booth Accommodation Domestic or international air travel arrangements and related expenses (such as travel insurance) Freight and customs duties for brochures All additional arrangements and costs are the responsibility of the participant Astindo Travel Fair

4 PAYMENT AND CANCELLATION POLICIES Registration documentation is due no later than February Payment is due no later than February 26, Cancellation Fees Cancellation by Tourism New Zealand: If, at any time following acceptance of your application but prior to the Event: Tourism New Zealand considers that you cease to satisfy any of the Criteria or have otherwise breached these terms and conditions; Tourism New Zealand reasonably considers that it is no longer appropriate for you to participate in the Event; or you fail to pay the Participation Fee to Tourism New Zealand by the due date for payment specified by Tourism New Zealand, Tourism New Zealand may, in its sole discretion, by notice in writing, withdraw its acceptance of your application and cancel your right to participate in the Event without incurring any liability to you or any third party. Cancellation of your participation in the Event by Tourism New Zealand will have immediate effect on receipt of such notice. Cancellation by you: Following acceptance of your application you may cancel your participation in the Event 15 business days or more before the Event by providing written notice of such cancellation to Tourism New Zealand and paying the Cancellation Fee as provided for in the Event prospectus, or as otherwise notified by Tourism New Zealand. Cancellation of your participation in the Event less than 15 business days prior to the Event, by written notice or otherwise, will require payment of the Cancellation Fee and result in forfeiture of your Participation Fee to Tourism New Zealand. 5 SELECTION CRITERIA AND PROCESS There will be a limited number of places available for New Zealand companies. This event is suited to companies that: Commissionable product Have established in-market relationships Products brochure by Indonesian Wholesalers Attended TRENZ RTOs Participation criteria - You may only apply to participate at this Event if: a b your Product/Service falls into one of the following Qualmark categories and evidence can be shown that such Product/Service has achieved Qualmark accreditation: o Star Graded Accommodation; o Star Graded Venue; o Endorsed Visitor Activity; o Endorsed Visitor Transport; o Endorsed Visitor Service; o Endorsed Inbound Tour Operator; o Endorsed Visitor Information Centre; or your Product/Service has achieved, and you can show evidence of, an independent accreditation under a third party quality rating system for your Product/Service which: i has an appropriately documented assessment framework; and ii is recognised nationally and/or internationally; and iii has a robust and frequent assessment process that is provided by a third party accreditation provider; or you are an International Marketing Alliance (IMA), touring route, Regional Tourism Organisation (RTO), other marketing group or national association; or you are an airline with established routes to New Zealand. 6 HOW DO I REGISTER? Please complete and submit the online application form. On submission you will receive an confirming your application has been received. If you do not receive an , please contact Caroline Carruthers, Trade Events Manager at caroline.carruthers@tnz.govt.nz Note: You must confirm that you have read and agree to the Tourism New Zealand event terms and conditions by ticking the box at the bottom of the event application form. Acceptance: Consideration and acceptance of your application to participate at the Event is at the sole discretion of Tourism New Zealand. Tourism New Zealand is under no obligation to provide you with any reasons for their acceptance or rejection of your application. Selection criteria: Without limiting the above Acceptance, your application to participate at the Event will be assessed using one or more of the following criteria: the consistency of your application and your Product/Service with the objectives of the Event and Tourism New Zealand; the consistency of your application and Product/Service with Tourism New Zealand s Event objectives and statutory obligations; the need to have an appropriately diverse selection of products and services promoted at the Event; the order in which your application is received within the application timeframe, for example: first come first served ; evidence of an independent accreditation under a third party quality rating system, which is widely recognised nationally and/or internationally for its robust assessment process, for example: Qualmark; the availability of information about your Product/Service over the internet and by and the quality of such information; where relevant, the ability of your Product/Service to be booked and commission paid in respect of your Product/Service at the appropriate industry levels and relevant to the distribution system used; your involvement with Tourism New Zealand s marketing programmes, including but not limited to the international media programme; evidence of international marketing of your Product/Service in relevant markets by you or via offshore travel sellers; the availability of the relevant retail and wholesale rates for your Product/Service at the start of the Event; your financial and industry performance; and any other criteria that Tourism New Zealand considers relevant to the selection of products and services for promotion at the Event. 7 LOGISTICS FORMAT, LOCATION AND TIMING Format Tourism New Zealand will register on behalf of all confirmed attending New Zealand suppliers and purchase the stand space. Tourism New Zealand will manage the design and build of the New Zealand stand and has full control over image selection for use in the stand. Please note there is no dedicated space for New Zealand participants on the stand. New Zealand participants are expected to wear 100% Pure New Zealand tees supplied by TNZ and represent the entire country on a rostered basis throughout the event. Gatot Subroto Jakarta Indonesia Timing The event will open from daily from 10am to 9.30pm SALES CALLS / FOLLOW UP DAYS Should you wish to conduct your own sales while you are in Indonesia, please let us know if you require any assistance. INTERNATIONAL FLIGHTS Tourism New Zealand will seek industry airfare support for this event. Booking information will be sent to all confirmed participants as soon as these become available. VISA FEES Visas are the responsibility of the participants attending the event. Participants should confirm their individual visa requirements for each country prior to departure. MATERIALS REQUIRED It is suggested that you bring: 500 brochures Ample supply of business cards Astindo Travel Fair

8 BROCHURE SHIPMENT Due to the tight custom import restrictions in Indonesia, please DO NOT attempt to ship brochures (if you do TNZ cannot guarantee that they will clear customs in time for the event). Therefore, if you wish to distribute brochures from the TNZ stand at the event, please bring them with you in your luggage to Jakarta and bring them along to the Fair each day. HELPFUL HINTS AND ADDITIONAL INFORMATION The following are some ideas you may want to keep in mind when planning your trip. Money: Indonesian Rupiah. Quick trick to mentally approximately convert to NZD is to take off 4 zeros. A small number of ANZ ATMs are available in Jakarta. Most taxis expect payment in cash Transport: There is no subway in Jakarta Departure fee: INR150,000 in cash on departure from Jakarta International Airport Weather: Anticipate degrees daytime Travel and Medical Insurance: Tourism New Zealand does not arrange for travel or medical insurance on behalf of New Zealand suppliers/rto or Macro regions. Tourism New Zealand does not provide for any indemnity for loss or injury suffered by participants while in Indonesia. We recommend that you purchase a comprehensive medical and travel insurance policy prior to departure. Cultural Sensitivity: Jakarta is a predominantly Muslim city. Whilst it is probably the least strict of our Muslim markets, please be respectful by wearing a reasonable amount of cloth in public places. Intoxicated behaviour is frowned on. Friday from noon is a major prayer time. Thank You in Bahasa Indonesian = Teri Makasi. Health & Safety: There is no known Malaria in Jakarta but there is Dengue Fever (as in most Asian cities in tropical latitudes) which is transmitted by a daytime mosquito. Astindo Travel Fair
