3 INTRODUCTION The Association for Palliative Medicine of Great Britain and Ireland (APM) and the Palliative Care Research Society (PCRS) will be hosting the APM s Annual Supportive and Palliative Care Conference (ASP Conference) in association with the Palliative Care Congress (PCC) in March 2018 at the Bournemouth International Centre (BIC), Bournemouth, Dorset. Past ASP and PCC events have attracted over 500 delegates from around the world from a diverse multidisciplinary background. The aim of the Conference is to promote evidence-based compassionate care through the presentation and discussion of new research findings, showcasing new approaches to patient care and state of the art approaches to common palliative care problems. As well as the multi professional academic programme, the Conference will feature many practical workshops, as well as updates on political and ethical issues relating to the specialty of Supportive & Palliative Care. The varied programme should ensure a high number of delegates from all the different disciplines and sectors, including doctors, nurses and allied health professionals from academia, primary care, secondary care and the third sector. We are expecting over 500 delegates to attend the Conference. The Conference will feature a trade exhibition in the BIC s Purbeck Hall, where refreshments will also be served and posters will also be presented. We see the trade exhibition as complimentary to the programme and we are seeking support from organisations and companies we think are of relevance and interest to prospective delegates. 4 VENUE Bournemouth International Centre The Bournemouth International Centre (BIC) in Bournemouth, Dorset, is one of the largest venues for conferences, exhibitions, entertainment and events in southern England. 7 SCHEDULE SET-UP Date: Thursday 15 March 2018 From: 0700 hrs Location: Purbeck Hall All stands must be set-up by 0930 hrs on 15 March. EXHIBITION HOURS Date: Thursday 15 March 2018 From: Set up access from 0700 hrs. Exhibition live from 0930 hrs until 2000 hrs. Date: Friday 16 March 2018 From: 0730 hrs to 1645 hrs DISMANTLING Date: Friday 16 March 2018 From: 1645 hrs The conference will close at 1645 hrs on Friday 16 March 2018 All exhibitors equipment and materials must be packed and ready for shipping from the exhibit area on Friday 16 March 2018.

8 BOOKING PROCESS All sponsors, exhibitors and those taking advantage of a marketing opportunity are required to complete an online booking form using the links below: Exhibitor Booking Form Platinum and Gold Sponsor Booking Form Marketing Booking Form PAYMENT PROCESS Deposit A 50% deposit is payable immediately upon the receipt and processing of your booking form. An invoice will be issued with payment due by return. Your choice of stand is not confirmed until payment is received and stands will be allocated on a first come, first served basis. Balance Payment The balance is payable on or before Friday 15 December Sponsors and Exhibitors confirming after this date will be required to pay the full cost at the time of booking. PAYMENT METHOD All payments should be made by online bank transfer. Bank account details will be provided within your Invoice.

9 CANCELLATION POLICY All cancellations must be received in writing and addressed to: Munro Smith Associates Limited Suite 8e, Funtley Court, 19 Funtley Hill, Fareham Hampshire PO16 7UY Or via to Should any sponsor or exhibitor fail to settle either the initial or balance payment, the APM reserves the right to cancel the contract between the parties. SPONSORS (PLATINUM AND GOLD LEVELS) Cancellation will automatically incur a 100% cancellation fee, unless an equivalent sponsor can be signed. In the case of another equivalent sponsor being signed, the cancellation fee may be discussed on a case-by-case basis. EXHIBITORS For cancellations received prior to and including Friday 15 December 2017 a cancellation fee of 50% of the total fee will apply. For exhibitors cancelling between Saturday 16 December and Friday 12 January 2018 inclusive, a cancellation fee of 75% will apply. Cancellations received from 13 January 2018 onwards will incur 100% of the total booking cost. STAND LOCATION Exhibit space will be assigned according to the date on which payment is received, the availability of any requested area, any special needs and the compatibility of the exhibitor s products in relation to neighbouring stands. The APM reserves the right to assign other than the choice(s) requested, if necessary, and to rearrange the floor plan and/or to relocate any exhibits. Please see the Plan of the Exhibit Space for an outline of all stand locations. The exhibition will be held in the Purbeck Hall. BESPOKE STAND SPACE The opportunity to construct a custom build stand may be possible, depending on the exhibition space available at the time of your request. 10 REGISTRATION Complimentary sponsor (Platinum and Gold) places The Platinum sponsor will be entitled to five complimentary sponsor places for their members of staff, per day. The Gold sponsor will be entitled to four such complimentary places per day. Different members of staff may attend on each day, up to this maximum. Any additional members of staff in attendance, over and above this number daily, must book and settle the Paying Sponsor rate, at a cost of per person, per day. Each badge holder will have free admission to all open sessions and will be provided with refreshments, including lunch. Complimentary silver and bronze exhibitor places As an exhibitor, you will be entitled to two complimentary exhibitor places per stand, per day. Different members of staff may attend on each day, up to a maximum of two people per stand per day. Any members of staff in attendance over and above this number on any given day must book and pay at the appropriate delegate rate. Each badge holder will have free admission to all open sessions and will be provided with refreshments, including lunch.

Your chosen option will allow you to organise an educational session on a topic of your choice (with agreement from the Conference Organising Committee). Alternative Sponsorship Options We acknowledge your sponsorship needs may not be met by the packages offered. 13 MARKETING Leaflets If you would like to communicate with delegates, we can arrange to include a single sheet leaflet or flyer for you as part of the delegate packs (maximum size is A4).
