1 Administrative Circular 1. Introduction The Australian Government is pleased to lead this important APEC education activity and welcome delegates to what we hope will be a productive and engaging event. The APEC Researcher Mobility Workshop will be held on 1-2 December 2015 in the vibrant city of Jakarta, Indonesia. As higher education sectors around the world are increasingly interested in finding ways to strengthen regional and global connections and are stimulating their research networks, this workshop is timely. Discussions will focus on enhancing education, research and industry links; learning from existing regional research initiatives and ensuring research integrity in the context of existing research ethics and governance frameworks across the region. The workshop is being organised as a direct response to directions given by APEC Economic Leaders to promote Cross Border Education cooperation through exploring and developing ways of improving the mobility of researchers. The outcomes of the event will support APEC members to move towards future actions that enhance researcher mobility across the Asia-Pacific. The Department of Education and Training (the department), on behalf of the Australian Government, is responsible for managing workshop arrangements, including the venue, logistical support and registration. The department will be responsible for accommodation arrangements and the travel reimbursement process for speakers and sponsored delegates. For all other logistical preparation, please refer to the contents of this administrative circular. 2 2. Workshop agenda Agenda The final agenda for the workshop will be available at the event website and will also be ed to delegates. A draft version is included at the end of this document. Registration at the event will begin at 8.30 am on Tuesday 1 December, with tea and coffee provided at the venue. This will be immediately followed by the first session at 9 am. The workshop will conclude at 3 pm on Wednesday 2 December. 3. Visas, travel insurance and arrangements for sponsored delegates Visas and Travel Insurance Visas and travel insurance Delegates are responsible for arranging their own travel insurance and visas. All workshop participants requiring a visa for entry into Indonesia are responsible for obtaining the appropriate entry visa prior to their departure. Participants are also responsible for obtaining any transit visa that may be necessary for their travel. Delegates from the majority of APEC economies can either enter Indonesia visa-free or obtain a Visa on Arrival (US $35). To avoid lines at the airport, you may prefer to apply for your visa prior to your travel. It is recommended that you contact the Indonesian embassy in your country to confirm your visa requirements at your earliest convenience. We recommend that delegates have travel insurance with medical cover for the period that they are in Indonesia.

3 Sponsored Delegates travel reimbursement If you have not confirmed your travel arrangements with the department, please contact as soon as possible to ensure you are reimbursed for your flight and per diem costs. The reimbursement process may take up to three weeks from when the department receives your travel invoice. 5. Workshop venue and arrangements The workshop will be held in the Timor Room on the Lobby Floor at the Hotel Borobudur Jakarta. A laptop, portable screen and LCD projector will be available for speakers. Internet access will be available to speakers and delegates. Venue location Hotel Borobudur is located in central Jakarta, close to business districts and government offices. The hotel is approximately 28 km from Soekarno Hatta International Airport. 4 Catering at the workshop Speakers and delegates will be provided with morning tea, a buffet lunch and afternoon tea on both days of the workshop. Workshop dinner All participants are invited to attend a networking dinner on Tuesday 1 December in the Sumba C Room on the third floor of Hotel Borobudur, which will feature an international buffet. Dietary requirements Please advise project organisers of any dietary requirements if you have not yet done so. Dress code The dress code during the workshop is business casual. Working language and interpreting Please note that all meetings will be conducted in English. No interpreting services will be provided. Speakers Presentations and handouts If you wish to use Powerpoint during your presentation, please send through your file to workshop organisers at least one week prior to the workshop. Workshop organisers also request that speakers provide any handouts they require at this time, to allow adequate time for printing. Accommodation at Hotel Borobudur We have booked accommodation for speakers and sponsored delegates and will confirmation notices needed for check-in. These bookings cover the cost of the room and breakfast. Participants are responsible for payment of other miscellaneous expenses upon checkout. Please bring a credit card to use on check-in. 5 6. General information Jakarta Jakarta is the capital and largest city of Indonesia, with a population of over 11 million people. Located on the northwest coast of the island of Java, Jakarta is Indonesia s economic, cultural and political centre. Jakarta s landmarks include the 132m National Monument obelisk; the Selamat Datang Monument, and the tallest building in Indonesia, the Wisma 46 building. For more information, visit the city s official website at Climate The average temperature for Jakarta in December is 28 C (82.4 F), with an average relative humidity of 82%. Rain is likely in December. Time Zone Jakarta local time is UTC/GMT plus 7 hours. Languages Bahasa Indonesia is the national language of Indonesia. English is widely spoken in Jakarta, particularly by people working in tourist industries. International Dialling Codes The country code for Indonesia is 62. The area code for Jakarta is 21. For calls to Jakarta from overseas, use the international access number and then the number you are dialling. For international calls from Jakarta, you will require an International Access Code (this differs between providers, so confirm with reception at the hotel) + country code + local number. Drinking water Delegates are advised to drink bottled water during their stay in Jakarta. Electricity supply The Indonesian electricity supply is 220 volts AC 50 HZ. The outlet has two round prongs, and is a "schuko" type F with two earth connectors on the side. It is advised that participants bring an adapter to use during their stay. Currency The currency used in Indonesia is Indonesian Rupiah (IDR). The exchange rate is currently approximately 1 USD = IDR

6 Shopping hours Jakarta is home to a number of major shopping malls as well as small businesses. Most shopping malls are open from 10 am to 10 pm, 7 days a week. Local shops and markets will vary in their opening hours, with some closing at 5 pm and others remaining open until late in the evening. Emergency contacts In case of emergency, dial the following numbers: Fire 113 Police 110 Ambulance In-country transport Participants are requested to make their own transport arrangements from Soekarno Hatta International Airport to Hotel Borobudur. Hotel Borobudur is approximately 28 km or a one hour drive from the Soekarno Hatta International Airport. However, the trip can take significantly longer depending on traffic and weather conditions. It is advisable to allow at least two hours for your journey to the airport, to ensure that you are on time for your international flight. Only use taxis obtained at a designated taxi queue (Silver Bird or Blue Bird are recommended). Politely decline all offers of help from touts or anyone who approaches you to avoid scams. Depending on traffic, a minimum metered fare is IDR from Soekarno-Hatta airport to central Jakarta. Add around IDR to the metered fare for required taxi surcharges and toll road fees. When taking a taxi from the airport passengers are charged a small surcharge that is based on your destination (airport surcharge): information about this is on the back of the taxi card that you will be given. Unless the fare has been clearly and explicitly agreed at a fixed rate before leaving, make sure the driver has put the meter on and that it is set to the minimum fare.
