2 National Executive 2019 Bid Information & Position Descriptions Welcome to the 2019 Executive bid process! The AMSA National Executive is responsible for the day-to-day running of the organisation for the calendar year. They oversee projects, advocacy and importantly, communication between different parts of AMSA. We really encourage even those limited AMSA experience to consider this incredible opportunity to be involved the organisation. AMSA is an incredibly dynamic volunteer-led company, and it s been a pleasure so far to be involved it this year. Bid Requirements Bids are restricted to four (4) executive team members, the rest of the team selected by a means of your choosing following election. This should be (unless approved otherwise) the President, Treasurer, Vice President Internal and Vice President External. As per the AMSA Constitution, executive bid documents required are: The postal address for of the Bid Team The names, electronic addresses, proposed positions on the Executive and MedSocs of all members of the Bid Team In addition to this, each bid team is invited to submit personal statements outlining their vision for AMSA, in accordance the overall AMSA Strategic Plan. There is no requirement for a bid to all come from a single city or state, or for all members of a team to have had prior experience AMSA. Submitting a Bid We hope you find this Position Description document as a useful start in understanding the National Executive currently. We have included all 15 positions for your consideration, although again we stress that bids should be providing teams of 4. We recommend potential bid members contact relevant existing executive prior to submitting a bid to discuss further. In previous years, there have been smaller numbers of executives slightly different portfolios, and there is the potential for change in the future. Important Dates Sunday, May 20th Deadline to submit applications (by 5:00pm AEST) to General Roger Buckley, at roger.buckley@amsa.org.au After this, bid teams will be contacted for interview by teleconference the Nominations Committee Election of the executive will occur during a general meeting, either during Council 2 (June 30-July 2) or during the National Convention. Final date TBA. Bid Team Presentations During the election process, bid teams will be invited to give a short (20 min) presentation. I have questions, who can I ask? The current Executive is very happy to chat you, so feel free to get in touch. Their s are listed under their current positions. 3 President Reports to: Current President Board, Council, all medical students in Australia Spokesperson of AMSA, overseeing both advocacy and internal management, leading the executive and AMSA as a whole, representative on many external (including AMA) committees, executive director of the Board of AMSA. - Internal management of exec (working VPI) - External advocacy and face of AMSA (working VPE and advocacy team) - Proactive and Reactive advocacy based on National Priorities - Communicating between the executive and Board as executive director - Governance and future-proofing AMSA - Overseeing risks including Events teams, projects etc. -Attending executive meetings - Being present at most stream meetings - Travelling to meet stakeholders, particularly MPs in Canberra - Meeting Events teams and assisting them - Writing opinion pieces, articles and reports - Being available for media interviews/engagement - Large amount of flexibility Close to full-time job equivalent, including travel and in-person time s. 4 Treasurer Reports to: Current Treasurer President, Board of Directors Execute and guide AMSA budget according to the long term strategic goals The role of the AMSA treasurer involves many different tasks. 1. Board management 2. Day to day treasury processing and payment approvals 3. Managing the budgets of the organisation 4. Leading the national finance team 5. Being a part of the core executive 6. 5 Vice President Internal Reports to: President Oversee all internal portfolios of the Executive, and supports all other teams of the organisation. Assist other senior leadership teams in their internal management strategies. Ensure all AMSA volunteers welfare is cared for. 11 Sponsorship Officers Aims and Vice President Internal To oversee sponsorship for AMSA. Developing sponsorship prospectus treasurer before beginning of the year. Liaising AMSA s major partners and securing contracts. Securing financial and in-kind sponsorship for AMSA, including projects, publications, social media, website, Councils, and events Coordinating and supporting various Sponsorship Officers (SOs) in AMSA through the National Sponsorship Team (NST). The NST includes the Executive, National and Event SOs. Managing the NST, including organising and coordinating monthly NST meetings, and ensuring provision of contracted deliverables across all of AMSA Involvement in sponsorship review process and implementation of updated sponsorship strategy in collaboration key stakeholders Regularly updating AMSA treasurers and event teams both projected and committed sponsorship income Informing the executive and board regards to sponsorship activities (mainly the VPi and treasurer). Ensure that a deliverables tracking system is implemented to ensure obligations to sponsors are being met hours; more time intensive at the beginning of the year and during the lead up to major events. Sponsorship needs to start from the September before your executive takes over on January 1st of the following year. Organisation: expected to handle a significant flow of time sensitive s and regular phone calls during business hours. Communication: internal and external stakeholders. Most sponsorship officers find the very direct conversations about money and the value of AMSA s product fun but challenging. Communication is also important in ensuring sponsorship deliverables are met. 15 Events Coordinator Overall Goals for 2019 Current Events Officer Vice President Internal and Board Facilitate communication between event teams and link the event teams the AMSA Executive. Ensure that event teams are well equipped and supported to plan and execute their event. Improve and standardise the processes involved planning and executing an AMSA event (NLDS, Convention, GHC and RHS). This includes areas of treasury, delegate welfare and registration. Provide a source of support for event teams including upskilling and educational opportunities. This includes the 2019 teams, 2020 teams and prospective bid teams. Review event policies pertaining to team nominations, delegate welfare and equity in events. Troubleshoot issues from event teams Facilitate communication between all event teams to prevent excessive overlap and miscommunication Assist incoming event teams induction, continual team recruitment and synthesisation of handover information Assist communication between key AMSA Executive members and event teams, such as promotions, branding and sponsorship Chair monthly event teams meeting to ensure events are tracking well and any issues are flagged/resolved Act as main point of escalation for all event related issues Plan and assist in the call out of and nomination of future NLDS/ Convention/ GHC/ RHS Convenors. Be involved scheduling/rostering Executive team at AMSA events Create/develop/update event policies to ensure sustainability and risk mitigation for AMSA events. Check in regularly each event convenor and report back to AMSA Executive and General at the fortnightly executive meetings and at the events stream meeting. Release of 2x Panaceas - magazine showcasing creative pieces by all medical students- throughout the year.
