Reservations must be made by April 22. The hotel will continue to accept reservations at the group rate after the cut-off date, but only if rooms are still available. BUT CHECKS ARE ACCEPTED. Happy Hour Single Booth Registration Member (AZ Water, AZ AWWA, AZ WEA) $ 670 Single Booth Registration Non-Member $ 720 Multiple Booth Registration After Single Booth Purchase $ 600 Extra Exhibit Rep. Badge A maximum of two additional reps. per booth (Entrance to Sessions, Breaks, Wed. Happy Hour) $ 100 ea. Luncheon Tickets Not included in Exhibit Registration, but may be purchased with booth registration. $ 40 ea. Conference BBQ Tickets Not included in Exhibit Registration, but may be purchased with booth registration. $ 35 ea. Exhibit Space The Exhibit Hall will be set up in the Media Center (refer to map) at the Renaissance Glendale Hotel & Spa, 9495 W. Coyotes Blvd., Glendale, AZ WIFI will be available in the Exhibit Hall. In March you will receive an Exhibitor s Confirmation Package via . Included in this kit will be your booth number and instructions for handling needs such as electrical, extra furnishings, and freight. These items ARE NOT included with your booth and must be arranged directly with the exhibiting contractor. Door Prizes All conference attendees love giveaways and door prizes. AZ Water encourages the participating exhibitors to bring prizes to conduct drawings at their booths during the conference. Please note, door prizes are the full responsibility of the exhibiting company. All prize drawing times and anything related to the prize is at the exhibiting company s discretion. All prize drawing winners are to be posted at the exhibiting company s booth. Announcements and/or postings outside of the individual booths will not be permitted. Setup / Tear Down / Penalty By completing your booth registration the exhibiting company agrees that its exhibit materials will be set up by the stated Setup Time of this contract. The exhibiting company agrees that no party will disassemble or tear down exhibit materials before the designated tear down time, which is also listed below. If exhibit materials are broken down before the designated time, the exhibiting company will be charged a $100 contract penalty. Set-up: Tuesday, May 10 from 1:00pm 5:00pm. Tear Down: Thursday, May 12 from 3:00pm 6:00pm. All Water Professionals Invited to View Exhibits AZ Water will announce to members that are unable to attend the conference this year - the ability to view the Exhibit Booths on Wednesday and Thursday at no cost. Likewise, we encourage you to invite clients to meet with you and view the booths as well. The Complimentary exhibit viewing hours are as follows: Wednesday May 11 from 1:00pm 5:00pm Thursday May 12 from 8:00am 3:00pm Rules & Regulations 1. Space is leased with the understanding that the Exhibitor will hold the AZ Water Association and Renaissance Glendale Hotel & Spa harmless from any and all liability that may result from any cause whatsoever. 2. In applying for space, the Exhibitor will pay the full exhibit fee with the application. In the event of cancellation by the Exhibitor after April 22, 2016, AZ Water shall have the right to rent the space to anyone else without obligation to refund the amount paid by the cancelling Exhibitor. Cancellations received by April 22, 2016 will receive a refund minus a $50 fee. 3. Each booth will be 8 wide x 10 deep and will include pipe and draping, an eight foot skirted table, two chairs, an ID sign, a wastebasket, and two exhibit registrations. The Exhibitor will provide all other furnishings and equipment at their own expense. 4. All demonstrations and exhibits must be confined to the assigned exhibit space in such a way as to not interfere with the adjacent booths. 5. The Renaissance Glendale Hotel & Spa will not accept or store materials or empty crates. The Exhibitor will make his own arrangements for delivery and receipt of shipments and storage of crates before moving time. 6. Exhibitors agree to maintain such insurance that will fully protect AZ Water from any and all claims of any nature including claims under the Workmen s Compensation Act and for damages for personal injury, including death, which may arise in connection with the operation of the Exhibitor s display. Damage to inadequately packed property is the Exhibitor s own responsibility. In the event the Exhibitor damages the building, they agree to reimburse the owner of the building for the cost of repairing such damages. The Exhibitor agrees to protect, save, and hold harmless AZ Water from all loss and/or damage whatsoever caused to said building or any par thereof, directly or indirectly. AZ Water assumes no responsibility for theft or mysterious disappearance of any equipment or furnishings connected with the exhibit. 7. AZ Water Association will have sole control over admission of all persons. All persons visiting the exhibit area will be admitted according to the rules and regulations of the Conference, as issued or amended by the authorized representative of AZ Water. Exhibitors will abide by all provisions of said rules and regulations, applicable fire codes, and all other regulations of government agencies and the Renaissance Glendale Hotel & Spa. 8. Company representatives are required to wear their badge at all times in the Exhibit Hall, Sessions, and at Conference Events. 1/6/2016

Your company's sponsorship of the conference will help AZ Water continue to develop quality education programs that serve our members, while keeping registration costs to a minimum. Sponsorships are used to help offset annual conference expenses such as the facility, exhibition, speakers, training materials, awards, luncheon programs, and other conference events. If your sponsorship form is received by April 22 your company will be listed in the Conference Program Guide. If not, you will still be listed on conference signage, conference slide show, the web site, and in the summer issue of the Kachina News magazine. Please phone the AZ Water Conference Exhibit Committee Chair, Mike Ambroziak , exhibitor@azwater.org. What is included in my exhibit booth space? Each 8' wide x 10' deep booth will be set with 8' high back drape and 36" high side dividers. Each booth will include the following: 1 table draped, 2 side chairs, 1 wastebasket, and identification sign. The exhibit hall is carpeted. How do I order electricity, extra furniture, or accessories for my exhibit booth? AZ Water is pleased to offer WIFI in the Exhibit Hall again this year. You will be ed an Exhibitor Confirmation Package in March that will include order information for electricity, additional furniture or accessories, and shipping/materials handling instructions. It is IMPORTANT to purchase your electrical needs early, as the cost is much higher the day of move-in. What is included with the exhibit booth registration fee and the extra representative badge fees? You will receive two of the following: - exhibitor representative badge - entrance to all conference technical sessions - coffee & tea each morning, breaks, and Wednesday evening happy hour in the Exhibit Hall - conference program guide - conference give-away - attendee list ed two weeks following the show Note: Luncheon tickets and BBQ ticket are not included in the exhibit booth registration fee. 1 Page

7 Manufacturer s Happy Hour, Wednesday, May 11 Happy Hour with the Manufacturers in the Exhibit Hall from 5:00pm 6:30pm. Drinks and munchies will be served. This Happy Hour is just prior to the BBQ event. Where do I pick up my exhibit materials onsite and where is the Exhibit Hall when I arrive at the Glendale Renaissance Hotel? The Exhibit Package contains a map of the hotel showing the Media Center (Exhibit Hall). In the lobby area outside the Exhibit Hall is the Exhibitor Registration Table. Registration will be open from 1:00pm 5:00pm on Tuesday, May 10 and again on Wednesday, May 11 for those who did not pick up their materials on move-in day. I forgot to order extra representative badges, need barbecue tickets, or luncheon tickets. If you need extra representative badges, you may purchase them at the Exhibitor Registration Table in the lobby outside the Exhibit Hall. Meal tickets can be purchased at the main Registration Desk in the Meeting Room Lobby area. What are the move in/move out times? Exhibitor Setup: Tuesday, May 10, 1:00pm 5:00pm Exhibitor Teardown: Thursday, May 12, 3:00pm 6:00pm (you may not tear down your booth until 3:00pm) The conference does not officially end until Friday, May 13th at 3:00pm. When are exhibiting hours? It is up to each company to determine the amount of time to spend in your booth. This may be a good time to set up appointments with your clients that are not attending the conference. 2:30pm 3:00pm Break and exclusive dedicated exhibit time for all conference attendees. There are no conference sessions during this time. 5:00pm 6:30pm Happy Hour with the Manufacturers in the Exhibit Hall. Drinks and munchies will be served.
