2 Overview Our 10 th annual 8 th grade DC trip. We are bringing: 290 students 30 chaperones Lots of patience and fun Signed permission slips are needed - please sign and return if you haven t already

9 Departure April 25th Students need to arrive at Clarke at 3:30 am Students need to arrive at Clarke at 3:30 am Boston students may meet us at Logan Flights depart between 6:00 and 8:00am Students will know to which bus they have been assigned. Buses will be going to different airport terminals - A & C. Label your luggage. Students say goodbyes and load the bus.

10 Loading Buses School buses will be in the bus lane Buses will be labeled A, B, C, D, E, F, G, H &I Students will bring luggage to their assigned bus, check in and load the bus. The luggage and backpacks will stay with students on the ride to the airport. No luggage in the aisles.

19 Arriving at Logan Airport Follow your chaperone s directions. Hold onto your boarding pass Do not leave your bags unattended Do NOT go anywhere alone! Students Do NOT need ID Time is short - pack something for breakfast.

20 Carry On Expectations Bag searches slow us down! There will be No Checked Baggage All bags go through security No need for laptops / No school ipads No water bottles or large bottles of liquids (lotions count too) No sharp objects (i.e. scissors, swiss army knife, etc.) Keep toiletries to bottles of 3 oz or less (includes lotions, toothpaste, shampoo etc)

21 Airline Expectations Put luggage in overhead storage bin when you find your aisle and seat. The gate agent may make us check our luggage at the plane. Sit in your assigned seats. Backpacks under seat in front of you. Follow TSA rules and regulations. REMEMBER, there are other passengers.

22 SAFETY The chaperones are here to keep you safe. Never travel alone. Never travel to the bathrooms alone (buddy system). Always be on time (have a watch). Always be where you are supposed to be. Always be respectful of chaperones, bus drivers, tour guides, and residents. Carry money properly/bring some smaller bills. Chaperone Safety Zone. Chaperones speak- you listen Don t be told twice. Look out for each other.

23 Student Medication Emergency Meds (inhalers or EpiPens) should be held by the student. No Phys signature necessary (we have it already) Epi Pens and Inhalers will NOT be sent from school. If you do not have one at home to send with your child, please contact the school nurse. Please remind students to pack it in their backpack to have each day! (Don t leave in hotel room.) Prescription medication that is NOT taken at school requires a physician signature. Pack only enough for the trip in the original labeled container (including over-the-counter medication).

24 Student Medication Controlled substances should be held and administered by the chaperone Please get these medications to the nurse s office by Monday April 23rd OTC products (Tylenol, Advil, Sudafed, etc.) may be held and administered by the student. STUDENTS: Know when you need to see a chaperone for your medication

25 Meals Breakfast: Hotel Thurs and Fri Wednesday Lunch: Reagan International Pl Wednesday Dinner: Pentagon City Food Court Thursday Lunch: - National Place Food Court Thursday Dinner: - Pizza and Salad on Boat. Pick up something at National Place if you will not eat Pizza and/or Salad Friday Lunch - Smithsonian Mall / 15$ stipend

26 Meals Vegan, vegetarian or gluten free, please let Mrs. Monaco or Mr. Wettstone know so we can help problem solve but you need to be prepared as well! For those with food restrictions or even allergies, we recommend packing healthy snacks and non perishable items that you know you can eat (i.e healthy protein or granola bars or even bagels).

27 Cell Phone usage Students may have their cell phones, BUT they are not be used on the bus/airplane or during the day. They may be used for taking pictures There should be NO texting or posting to social media while on this trip You may use phones in the evening to text / call home. If a chaperone finds a student using a cell phone inappropriately they will confiscate the phone Parents do not call or text your child during the day. If you receive a call from your child and you feel uncomfortable PLEASE ask to speak to a chaperone immediately.

29 Check in at hotel Stay on bus until luggage is unloaded. Chaperones will hand keys to their rooms. Chaperone will hold one key. Students are responsible for bringing luggage to their room. Typical room = 2 beds and 4 students

30 Hotel Expectations Students should report ANY damage to their chaperone immediately upon arrival. The hotel is most often frequented by business people, government officials, and other adults on vacation, students need to respect their privacy. There will be NO opportunities to use a pool on this trip. There will be NO opportunities to visit other rooms.

31 Hotel Safety Know where chaperones rooms are located. Never open your door for anyone. Ask who it is and identify the chaperone. Never open for police or anyone else. Once in your room, you do not come out unless it is an Emergency. Security guards on duty 9PM 5AM

32 Being on time Always know three things: How long will we be in a place? Where are we meeting? When are we meeting?

33 Tour Guides Capital Tours hires guides to assist us. They will provide lots of information about whatever we see or visit. Give them the respect of listening to them when they speak.

34 Pace of Travel Very, very long days. Take advantage of the time to sleep. Behavioral expectations / respect: Holocaust Museum/Vietnam Memorial Respect everyone s right to have a great trip. This includes the chaperones. You are representing your town, school and family on this trip ALL SCHOOL RULES APPLY

36 Agreement of Responsibility To be signed and returned tonight by parents AND students In the event of inappropriate behavior, misconduct, or failure to comply with directions, one or more of the following actions may be taken: A meeting with the chaperones or administration resulting in possible restrictions (disciplinary actions in accordance with school policy will be enforced), a phone call home, contact the local authorities and student will be sent home at the expense of the family. In this case, the parents will be responsible for paying the cost of their child and a chaperone.
