DEPOSIT/ PAYMENT In order to secure a seat on the trip, the following payment schedule has been established: An initial full deposit of $ per person is due on or before September 1, Please note, the initial deposit cannot be paid from the student s trip account and that all fairshare accounts must be current prior to making the initial deposit. A second payment of $ per person or the equal amount in the student s trip account is due on or before October 6, A third payment of $ per person or the equal amount in the student s trip account is due on or before November 3, A fourth payment of $ per person or the equal amount in the student s trip account is due on or before January 5, Final payment for the student trip participants will be determined by the number of trip participants as well as the amount in the student's trip account. Final payment for the adult trip participants will be determined by the number of trip participants. Notification of the amount due will be provided by The McGavock Band Boosters approximately two weeks prior to the due date. Final payment is due no later than February 1, PLEASE NOTE, ALL FAIRSHARE ACCOUNTS MUST BE CURRENT AT THE TIME OF EACH PAYMENT AND ALL ACCOUNTS MUST BE PAID IN FULL PRIOR TO THE TRIP. All checks, cashiers checks or money orders should be made payable to Thomas Tours and mailed directly with an enclosed reservation/payment form to Thomas Tours, th Avenue South, Nashville, TN Credit/Debit Card payments can be made by calling Thomas Tours at or Please note, a 3% processing fee will be applied to all credit/debit card payments. No invoices will be sent. Therefore, it is each individual's responsibility to keep his or her payments current. 4 CANCELLATION POLICY In the event of cancellation, the following policy will adhere: Cancellations received on or before November 30, 2017 will result in an administrative fee of $75.00 per person. Cancellations received between December 1, 2017 and January 4, 2018 will result in a cancellation fee of $ per person. Cancellations received between January 5, 2018 and February 1, 2018 will result in a cancellation fee of $ per person. Cancellations received between February 2, 2018 and the date of departure will result in a cancellation fee of $ per person. In the cancellation , please include the name of the school, grade and destination along with the name of the student and mailing address. Students who have been cancelled from the trip due to disciplinary reasons, academic probation, quit band or have changed schools will still be bound by the cancellation policy.
