3 2 QUESTIONS CONCERNING REGISTRATIONS AND CANCELLATIONS 2.1 How and when can I register to Town Hall employee meeting You can register via HRG registration pages. Please note that your registration is binding. Registration to the group flights has ended For requesting individual seats, please write your wish to the Other wishes concerning travel arrangements field in the registration form. HRG will contact you. Registration for hotel accommodation (only for persons coming outside Capital Region and traveling by plane or by train) latest In case you need bus transfers, train tickets or don t need travel arrangements at all, please register latest In case you need to cancel your registration (due to sickness or other force majeure), please contact HRG Nordic immediately: cgievents.fi@hrgworldwide.com In case of late registration after , please contact: cgievents.fi@hrgworldwide.com In case you have booked bus transfers and you need to cancel them at the last minute, please call your colleague traveling on the same bus. This way information will reach the driver also. 2.2 Why is my registration binding? Registrations are binding, because all cancellations for travel and hotel arrangements will result in cancellation fees. We need to inform the number of participants with special diets to Energia Arena in the beginning of April. 3 WHEN AND WHERE IS TOWN HALL HELD? Time: Saturday at14:00 22:00. Place: Vantaa Energia Arena, Myyrmäki, Rajatorpantie 23, Vantaa. NOTE! In case you will travel to Energia Arena on your own, please be there on time, latest at 14h30 at cloakroom. The space for parking is limited, please arrive using public transportation. 4 PROGRAM FOR TOWN HALL Timetable and preliminary program (changes possible): at Doors open and buses arrive at Inspiring program at Refreshments, Run, Change, Grow and Flow areas open

4 at Buffet dinner at Entertaining evening program at Closing at Evening ends, buses leave 5 WHAT IS ON THE DINNER MENU? We will update information on the menu as soon as possible. 5.1 Who should I contact if I have special diet? Please inform your special diet when registering to the event. 5.2 Can I bring my own drinks? No. Energia Arena has license to serve alcohol and you are not allowed to bring or enjoy your own drinks (purchased outside event venue). 6 WHAT IS THE DRESSCODE? This year dress code is Black is the new black (smart casual). 6.1 Where can I change my clothes at Energia Arena? Best is to change clothes before you arrive to Arena. Dressing rooms are not guarded. For persons staying at Clarion Airport hotel we have reserved meeting rooms where you can change clothes, in case your hotel room won t be ready before leaving to Arena. 7 WHO IS INVITED TO TOWN HALL? You can participate in Town Hall if you are working in CGI / Finland, e.g. if you are a member (= working on temporary or permanent employment), including personnel from GTO Finland, LTC-Otso, Finanssi-Kontio and efennia. 7.1 Can persons on nursing leave or on study leave participate? Persons on nursing / study leave don t have to participate but can participate if they want. Persons on nursing / study leave haven t received separate invitation. Managers can send the registration link to persons on nursing / study leave. Persons on nursing / study leave should inform their personal and the name of their manager on the registration form ( Further information field). 7.2 Can subcontractors participate? Town Hall event on Saturday is not part of the subcontractors KIKY agreement. Subcontractors: please discuss your participation with your manager. 7.3 Can new CGI members who start their employment before participate? New CGI members who start their employment before can participate. Managers can send the registration link to new members. If the new member doesn t have a staff number, cost center information or work , they should use code on the fields of CGI employee ID and cost center and inform their

5 personal address. They should also add the name of their manager and the employment start date on the registration form ( Further information field). If new members need flight arrangements, please write wishes to the Other wishes concerning travel arrangements field in the registration form. HRG will contact you. 8 TEAM / UNIT MEETINGS ON THE SAME DAY Official team / unit meetings won t be held in the morning before Town Hall. In case some team wants to organize unofficial program before Town Hall, it is on voluntary basis. In this case team / unit is responsible for extra costs occurred, e.g. lunch catering. Please note these meetings should end so that everyone will be on time at Energia Arena, latest at 14:30. 9 QUESTIONS ABOUT BUS TRANSFERS AND FLIGHT RESERVATIONS 9.1 For whom have we organized bus transfers? Bus transfers are organized from CGI offices outside Capital Region. Information about bus routes and timetables can be found on the event webpage (see section Bus transfers). Return transfers are organized for same routes and stops. In case you are working for another CGI office, you can use the transfer departing from the office nearest to your home. For persons staying at Clarion Airport hotel we have organized transfer to Energia Arena departing at 14:00. Transfers will be booked only for persons registered beforehand. In case you need transfers (and haven t booked them when registering to the event), please contact: cgievents.fi@hrgworldwide.com Participants coming from the Capital Region will arrive to Energia Arena on their own. Please arrive latest at 14:30.The space for parking is limited, please arrive using public transportation. Energia Arena is located approximately 1.2 km from Myyrmäki train station. Taxi stand is at your service in the front of the Arena in the evening. Participants coming from Capital Region can use the transfer after the event from Energia Arena to Helsinki City Center. Please remember to register also for this transfer! Buses will have name lists of all registered participants due to security reasons. Bus driver s contact numbers will be sent out to participants by latest the day before the event. In case you have booked bus transfers and you need to cancel them at the last minute, please call your colleague traveling on the same bus. This way information will reach the driver as well. We will organize return transfers to same locations as above. Buses will depart at 22:00 sharp! More information on bus routes and timetables can be found at HRG event page on section Bus transfers. We will also organize the following transfers: From Energia Arena to Helsinki City Center From Energia Arena to Clarion Airport hotel and to airport Buses will use the quickest route to destination, but they can drop off passengers at stops along the route. On return buses will drop off passengers at city center (or bus station) or at CGI office if needed. Passengers are responsible for arranging other transportation by themselves. 9.3 How do I travel from the airport to the hotel in Helsinki? On Saturday you can travel from the airport to Clarion Airport hotel on your own by using the I-train departing from airport. Clarion Airport hotel is located right next to Aviapolis station. Departures from the airport are every 10 minutes. Traveling time between Airport and Aviapolis stations by I-train is around 2 minutes (one stop). When you arrive to Aviapolis station, please use the exit Aviaboulevardi to reach the hotel. On Sunday you can use P-train from Clarion Airport hotel (Aviapolis station) to the airport. Tickets can be bought from ticket machines on station, on the train or from HSL mobile application (one zone ticket for Vantaa). 9.4 How do I travel between CGI office and the airport? We will organize bus transfers from CGI office to the airport (and back) for persons traveling on group flights from Oulu, Kuopio, Joensuu and Vaasa. In case you need transfer, please book these when registering to the event. Transfers are organized if there are enough registered participants. More information about airport transfers will be sent out to registered participants closer to the event date. 9.5 Flight tickets and train tickets to Helsinki

Please reserve your flight or train ticket when registering to the event. In case you need other travel arrangements (flight from different city or with different timetable), please inform your needs on the other wishes for travel arrangements field. HRG will contact you. 10 QUESTIONS CONCERNING ACCOMMODATION 10.1 Accommodation reservations Accommodation at Clarion Airport hotel is reserved only for persons coming outside Capital Region and traveling by plane or by train. Accommodation will be in shared double rooms. Please book your accommodation when registering to the event. You can also inform your wishes concerning roommate.

9 10.2 How do I travel from the airport to Clarion hotel? On Saturday you can travel from the airport to Clarion Airport hotel on your own by using the I-train departing from airport. Clarion Airport hotel is located right next to Aviapolis station. Departures from the airport are every 10 minutes. Everyone will organize travel back to the hotel (or home) on their own. 11 WHERE IS THE AFTER PARTY? We will update information later to this document. 12 WORK HOUR REGISTRATION, COMPENSATIONS AND DAILY ALLOWANCES 12.1 Do I get daily allowance if I participate in Town Hall? Daily allowances won t be paid for participating in Town Hall How do I register my working hours to PSA on Town Hall Saturday? KIKY agreement which was locally negotiated with workers council to extend working time with 24 hours from takes place in CGI Finland as follows: Ascension Day is a working day. Town Hall will be held on Saturday. As an alternative to participation is working. For learning and development of skills is used a total of 9 hours / member outside working hours. There has been opened two new codes - KIKY and KIKY Training for PSA time report sheet because of the KIKY agreement. The new codes can be found in the same table where you can find first Administration code. NOTE! In PSA Hours declared summary s (look at the picture below) "Scheduled hours" amount have to be changed for Town Hall Saturday in order that utilization reporting to be correct. On Town Hall Saturday 7.5 h will be added and the weekly working hours will be total 45 h. When changing "Scheduled hours" amount, you also need to choose "Finland Members KIKY hours 24 h annually" for the reason code.

10 Twofold working hour registration is based on the fact that KIKY code does not appear in the utilization reports. If registration for the Administration code is not done but "Scheduled Hours" time is added, members utilization is less than 100 %. This is the reason why working hour s registration is needed also to the code Administration. If you will participate Town Hall event, please register working hours to PSA as follows: Register working hours (7.5h) to code Administration and also to code KIKY If you will not participate Town Hall event but instead work, please register working hours to PSA as follows: Register working hours (7.5h) to code KIKY and also to the project or code (Administration etc.) what you have worked with that day If you are on a vacation on Town Hall Saturday, please register hours to PSA as follows: Register hours to code KIKY and also to code Vacation. If you are sick on Town Hall Saturday, please register hours to PSA as follows: Register hours to code KIKY and also to code Sick leave. If member does not work full time (37.5 hours / week), the required amount of KIKY hours is related to agreed working hours. E.g. if member is working 50% from full time, the required amount of KIKY hours is 12 hours. Part-time members: The length of the working day on Town Hall Saturday is X% from 7.5 hours. X is the percentage the memberis working for CGI. E.g. if the working time is 80%, on Ascension Day and on Town Hall Saturday member should work 6 hours on both days. Alternatively member can make an agreement with his/her manager that he/she will work more on the other day and less on another or carry out only one of the previously mentioned work days. E.g. if the working time is 50%, it can be agreed with member s manager that he/she will work only on Town Hall Saturday. Members who work in three-shifts: Members who work in three-shifts will participate Town Hall event only if it is possible in terms of work. If participation is not possible, KIKY hours on Town Hall Saturday are not made at all.

11 12.3 How do I register my working hours to Sector on Town Hall Saturday? Sector operates as in other working days. If you participate to Town Hall event, please register notification of absence using the deviation code 024 (työasia) for Saturday If you are unable to participate the Town Hall event, please register the actual reason for the absence (annual leave, balance leave, etc.). Absence notification shall be made before Saturday s Town Hall event. If you are working normally on Town Hall Saturday, please register your working hours normally to Sector How do I register my vacation to HRM-lomakäsittely (local vacation system), if I m on annual leave the post Easter week? Please register the post Easter week normally as annual leave including the Saturday to HRMlomakäsittely (local vacation system). The system uses annual leave normally How do I register my vacation to HRM-lomakäsittely (local vacation system), if I m on annual leave the post Easter week but I still participate to the Town Hall event? HRM-lomakäsittely (local vacation system) uses automatically Saturday as a vacation. To avoid this, please contact HR team via HR Service Center, they will help you with the registrations in order to use the right number of vacation days Is travel time to Town Hall compensable? Travel time is not working hours and does not increase work hour balance. Also, travel time does not replace KIKY agreement (Ascension Day ) and KIKY Training hours. These are separate working hour entities. Alternatives to participation to Town Hall event on Saturday are normal full working day / day off using work hour balance /vacation How 24/7 service is organized on Town Hall Saturday? On Saturday persons on duty do their work shift normally. Compensation is paid according to duty agreement.
