6 EMD is an electronic record used to capture data about a sale and track its usage. Issued as accountable document for: a payment received (e.g. Reservation Change Fee) a payment made for a service that will be provided at a different point in time (e.g. Excess Baggage) as a credit note / voucher (e.g. residual value/compensation) EMD is a replacement for accountable paper documents including MCO, MPD, Manual Excess Baggage Ticket and interim virtual documents e-services (100% EMD) 6 COPYRIGHT IATA 2011
7 There are two types of EMD: Types of EMD EMD-A the EMD-A is used to collect those charges that are considered used at the same time as an ET flight coupon. EMD-S the EMD-S is used to collect those fees and charges that are not considered used at the same time as an ET flight coupon. e-services (100% EMD) 7 COPYRIGHT IATA 2011
8 Types of EMD The type of EMD issued will be determined by Reason for Issuance Code(RFIC) and Reason for Issuance Sub-Code (RFISC) and will generally be defined by each airline. However certain EMD types are defined by Industry: EMD-A is currently mandated for excess baggage. EMD-S is currently mandated for Group Deposits, Prepaid Ticket Advices, Amendment Fees, Refundable Balances, Residual Values, Unspecified Transportation, Unpaid Taxes/Fees/Charges and Airport Service Fees. e-services (100% EMD) 8 COPYRIGHT IATA 2011
9 Reason for Issuance Code and Reason for Issuance Sub-code Each EMD has a Reason for Issuance Code (RFIC) and Reason for Issuance Sub-Code (RFISC): Reason For Issuance Code 1 alphanumeric A primary single character code, which defines the reason for issuance. Reason for Issuance Codes are sourced from IATA and are listed on the following slide. Reason for Issuance Sub-Code 3 alphanumeric A secondary three-character code which qualifies the Reason for Issuance Code. 12 Reason for Issuance Sub-Codes These codes are sourced and maintained by ATPCO. Many of these codes have already been defined and can be located on the ATPCO web pages. e-services (100% EMD) 12 COPYRIGHT IATA 2011
13 Reason for Issuance Code and Reason for Issuance Sub-code As well as determining EMD Type, the RFIC and RFISC can be used to control other EMD parameters e.g. Is a routing required Should EMD be limited to one coupon Should non-endorsable indicator be set These parameters will vary by system provider and by what fields are available in the fee filing. e-services (100% EMD) 13 COPYRIGHT IATA 2011

20 The EMD consists of the following: Electronic Value Coupon(s) Electronic or paper passenger receipt Optional electronic/paper Agent/Audit Coupon Optional Paper Charge Form e-services (100% EMD) 20 COPYRIGHT IATA 2011
21 EMD Players Validating Carrier The issuing airline whose numeric accounting code precedes the document number. Marketing Carrier For a flight-related service, the carrier marketing the flight in a code share situation. Operating Carrier The airline whose Airline Designator is recorded as the service provider on the electronic value coupon(s). (Subject to further industry review) A carrier could play any one of these roles e-services (100% EMD) 21 COPYRIGHT IATA 2011
22 Basic Principles An EMD can have up to 16 coupons (maximum of 4 conjunctive EMDs each with 4 coupons) An EMD can only be issued for a single passenger (exception EMD-S for group deposit) Each EMD coupon is closed to the carrier providing the service ARNKS (surface) segments are not required Some EMDs cannot function independently, issuance and usage is reliant on the presence of an ET (see later slides for EMD-A) e-services (100% EMD) 22 COPYRIGHT IATA 2011
23 Basic Principles Each EMD has only one RFIC (document level) Individual EMD coupons may have different RFISCs (coupon level) provided that the RFISCs belong to the same RFIC grouping (to comply with the point above) An EMD coupon may be issued for multiple services but only if it is the same RFISC, e.g. 2 bikes Where more than one service is required for the same board/off points separate EMDs must be issued e-services (100% EMD) 23 COPYRIGHT IATA 2011
24 Basic Principles An EMD coupon does not include specific flight data An EMD coupon does not include a specific date An EMD coupon may not even indicate a routing Unique form codes for EMDs defined for airlines, BSP and ARC, not differentiated by type of EMD e-services (100% EMD) 24 COPYRIGHT IATA 2011
25 EMD-S The EMD-S is a single or multiple value coupon document that can be issued in connection with an ET but is not intrinsically linked to the flight coupons of the ET. As such it is used to collect those fees and charges that are not considered used at the same time as an ET coupon. e-services (100% EMD) 25 COPYRIGHT IATA 2011
26 EMD-S The EMD-S can be issued in connection with an ET to indicate relationship to the ET e.g. amendment fee, but it is not mandatory. Data elements for an EMD-S include a Consumed at Issuance Indicator, if this indicator is set the EMD coupon(s) is considered used at issuance and is set to Used (final) status. When the Consumed at Issuance Indicator is not applicable, there is no Industry recommendation for when EMD-S coupons should be changed to final status. e-services (100% EMD) 26 COPYRIGHT IATA 2011
27 EMD-A The EMD-A is a single or multiple value coupon Document directly linked to ET flight coupon(s). The EMD-A is used to collect those charges that are considered used at the same time as a flight coupon. e-services (100% EMD) 27 COPYRIGHT IATA 2011
28 EMD-A An EMD-A can only be issued in connection with an ET Furthermore, each EMD-A coupon can only be issued to be associated to an ET coupon An EMD-A must be issued in the same name as the associated ET The routing of an EMD-A must be the same as the ET to which it is to be associated, although it may only be a subset of the ET routing For each EMD-A coupon, the Operating Carrier must be the same as for the ET coupon to which it is to be associated e-services (100% EMD) 28 COPYRIGHT IATA 2011
29 EMD-A The coupons on the ET to which the EMD-A will be associated must not be in final status. While the EMD-A is associated, the status of the coupon(s) should match that of the associated ET coupon(s). e-services (100% EMD) 29 COPYRIGHT IATA 2011
30 EMD Issue The mandatory fields for issuing an EMD are: Name Itinerary Pricing record FOP The pricing record may be created manually from information supplied by the airline or via automated quote supplied by e.g. ATPCO. The Validating Carrier or GDS is responsible for issuing the customer with an EMD receipt e-services (100% EMD) 30 COPYRIGHT IATA 2011
31 EMD Display An EMD can be indexed and displayed against the following criteria: Document number Credit Card Number Frequent Flyer number FOID e-services (100% EMD) 31 COPYRIGHT IATA 2011
32 EMD-A Association A request to the Validating/Operating Carrier of the ET to associate EMD-A value coupon(s) to ET flight coupon(s) either at time of issuance or following a previous disassociate. The receiving carrier shall: update the ET with the In Connection With EMD-A document number and coupon number(s) and set the In Connection With Qualifier to associated update the EMD-A to show the issued In Connection With ET number and coupon number(s) and set the In Connection With Qualifier to associated e-services (100% EMD) 32 COPYRIGHT IATA 2011
33 EMD-A Disassociation Request to the Validating Carrier of the EMD-A and the Validating/Operating Carrier of the ET to disassociate the EMD-A value coupon(s) from ET flight coupon(s). The receiving carrier shall: update the ET to set the In Connection With Qualifier to disassociated update the EMD-A to set the In Connection With Qualifier to disassociated e-services (100% EMD) 33 COPYRIGHT IATA 2011
34 EMD Servicing The normal servicing transactions of exchange/reissue, Refund and Void apply to the EMD. Prior to servicing an associated EMD-A or an ET to which an EMD-A is associated, it is necessary to disassociate the EMD-A value coupons from the ET flight coupons. Once disassociated, the EMD-A can then either be exchanged/reissued, refunded, voided or when an ET has been successfully reissued, if the routing sequence of the new ET matches that of the EMD-A, and there is no change of Operating Carrier, the EMD-A value coupon(s) can be re-associated to the new ET flight coupon(s). e-services (100% EMD) 34 COPYRIGHT IATA 2011
35 EMD Exchange/Reissue The EMD can be exchanged/reissued against a variety of documents, these are: Paper Ticket Paper MCO/MPD Excess Baggage Ticket Electronic Ticket EMD-S EMD-A e-services (100% EMD) 35 COPYRIGHT IATA 2011
36 EMD Void Where an EMD-S for residual value has been issued in connection with a new ET or EMD, if either the new ET or EMD are subsequently voided, the EMD-S for residual Value shall be automatically voided. e-services (100% EMD) 36 COPYRIGHT IATA 2011
37 EMD Indicators A number of standard ticketing indicators also apply to the EMD: Non-refundable Non-exchangeable Non-endorsable The Reason For Issuance Code and the Reason For Issuance Sub-code will determine whether these indicators will be set e-services (100% EMD) 37 COPYRIGHT IATA 2011
